Position Overview

The Inspection Coordinator & Dispatch Specialist is the operational heartbeat of SeptiPro Environmental. This fully remote position manages daily inspection scheduling, dispatcher communications, customer interactions, billing coordination, and pre-inspection preparation. You are the primary point of contact for clients, Realtors, and closing companies โ€” and a critical support resource for field technicians.

๐Ÿ  Remote Work Requirement: This position is currently fully remote. The successful candidate must have a dedicated home workspace that is quiet, free from distractions, has reliable high-speed internet, and is conducive to professional phone, radio, and email communications. In the future, a hybrid schedule (partial office/remote) may be required.


Key Responsibilities

Dispatch & Field Coordination

  • Operate a two-way radio and company-issued cellular phone to communicate with field technicians throughout each shift
  • Dispatch priority and escalated inspection calls to available technicians in the field
  • Monitor the status and location of field staff for scheduling efficiency and safety check-ins
  • Build the daily dispatch sheet and coordinate technician routes to maximize efficiency
  • Provide real-time administrative support to technicians in the field

Customer Service & Appointment Management

  • Answer incoming calls and respond to customer inquiries promptly and professionally
  • Assist customers with booking inspection appointments and answering questions about the process
  • Communicate with customers via phone, text, and email to confirm appointments and address concerns
  • Serve as primary point of contact for Realtors and title/closing companies to coordinate scheduling and confirm deadlines
  • Confirm site access, property logistics, and attendance requirements prior to each inspection

Administrative & Pre-Inspection Preparation

  • Prepare all pre-inspection materials for technicians including property info, checklists, and client contact details
  • Initiate the due diligence process with County Health Agencies and County Assessors for each inspection
  • Process all incoming inspection requests submitted via the website
  • Coordinate billing activity and assist customers with making payments (QuickBooks or equivalent)
  • Maintain accurate and organized digital records for all inspections and customer accounts

Qualifications & Requirements

Required

  • High school diploma or GED; associate’s or bachelor’s degree preferred
  • Minimum 2 years of experience in an administrative, operations, customer service, or dispatch role
  • Proficiency in computers, tablets, and standard office software
  • Experience with or ability to learn QuickBooks for billing and payment tracking
  • Exceptional verbal and written communication skills in English
  • Strong multi-tasking ability and high attention to detail
  • Reliable high-speed internet and a dedicated, distraction-free home workspace

Preferred (Not Required)

  • Previous experience as an office manager, operations manager, or dispatch coordinator
  • Familiarity with payroll software (ADP, Gusto, Paychex, or similar)
  • Experience in real estate, title, or inspection industries
  • Bilingual โ€” ability to communicate in Spanish is a strong advantage
  • Experience managing customer relationships in a service-based business

Compensation & Benefits

  • Base Pay: $22.00โ€“$26.00/hr (based on experience and qualifications)
  • PTO: Accrual begins following 90-day probationary period
  • Company-provided equipment: Cellular phone, two-way radio, computer system
  • On-the-job training for scheduling, dispatch, and company-specific systems
  • Health, dental, and vision insurance not currently offered.
